Track Equipment, Warranties and Maintenance agent board

About

Stop finding out a warranty ended the day the laptop dies. Get a clear list of what is due on your equipment, and the reminders drafted for you.

What it does

  • Builds a weekly "needs attention" list: warranties ending, services and calibrations due or overdue, late returns
  • Ranks the items with a reported problem by what to repair first, with the reason
  • Drafts warranty claims to suppliers and reminders to borrowers
  • Checks stock for equipment requests and reserves the right item once approved
  • Tracks loans and rentals: availability on the dates, return reminders, condition on return

What you need

  • Nothing to start: share your register as a file or a paste, or try it on a sample
  • Google Sheets, to read and update your register where it lives (Airtable or another tool works too)
  • Google Calendar, to book services and return dates with the right people

How setup works

Your first "needs attention" list arrives in the first minutes. Along the way it learns your service rules and who approves requests, then connects your register and confirms the weekly run.

What stays in your hands

  • It never sends a reminder, books a slot or changes your register without your go-ahead

What you will need

  • Google Calendar

  • Google Sheets

Frequently asked questions

Can it track warranty expiration dates?

Yes. It computes every warranty end from your register, lists what ends in the coming weeks, and suggests what to do before it lapses, such as claiming a known fault while still covered.

Does it work with preventive maintenance by mileage or hours?

Yes. A service rule can be time based, usage based or both, and it flags whichever comes first from the readings in your register.

Do I need Google Sheets?

No. It works from a file or a pasted register and keeps its own copy. Sheets, Airtable or another tool from the Rerun catalog lets it read and update the register where your team keeps it.

Can it handle equipment requests from new hires?

Yes. It checks what is in stock, proposes the item by asset tag, reserves it once approved, and suggests a purchase when nothing fits.

Will it email people on its own?

No. It drafts reminders and supplier claims and sends or books only after you say go.

How much does it cost to run?
